Merge/Purge/Remove Duplicates

Having a clean mailing list is important. At Rescigno’s Marketing Connections, we understand that. Our advanced software and data professionals can help you remove unwanted duplicates from your list. We can compare your list by:

Individual: Compares both first name and last name fields, plus address to find duplicates. Ex: Jim Smith and James Smith both at 1234 Main Street, SameCity, IL, would be recognized as a duplicate.
Family: Compares last name and address fields to find a duplicate. Ex: John Smith and Jane Smith both at 1234 Main Street, SameCity, IL would be considered a duplicate. This setting is especially helpful for newsletters where you would only want one per household. We can also update these matches so they are addressed to “The Smith Family” for the addresses with multiple family members.
Residential: Compares just addresses to find a match. John Smith and Jane Doe both at 1234 Main Street, SameCity, IL would be considered a match.
Company: Compares Company Name and Addresses to find a match. Ex: Rescigno’s Marketing Connections and Rescigno’s Marketing Conn., both at 7501 W 85th Street, Bridgeview, IL would be considered a match.
Name Only: We can compare First and Last names without regard to the address to find matches. This is helpful if you have a list containing home and work addresses. This list of potential matches is always sent back to the client to verify which address should be kept.

Removing duplicates from your list will reduce the number of supplies you will need to have printed. Deduping by family name is a great option for newsletters to reduce the number of pieces you need printed.

It’s a unique opportunity to speak BY NAME with your prospect or customer.
Personalized letters require a high degree of accuracy. Mail improperly personalized is a turn-off. Rescigno’s Marketing Connections specializes in personalizing your mailpiece!
In addition to personalizing your prospect’s or donor’s name, address and salutation, you can also add additional personalizing within the body of the letter for no additional cost. (Such as mentioning their last gift or using their name again.)

Rescigno’s now offers targeted messaging within the body of your letter. Create one letter, but put a special message into different segments. This is great for reunion letters, etc. Mentioning something special for each class will make your message resonate with the reader.

Specifications:

Rescigno’s Marketing Connections uses the font that comes across in your document. However, due to the differences in computer systems, this is not always the font you want. Please specify the font type and size if you have a particular font in mind.

Also, the letter we receive for merging should be the final version. Changes to the body of the letter after we’ve begun the merging process will incur additional charges.

Signatures:

Your signature on the personalized letter is very important! You want it to look as authentic as possible. Rescigno’s can scan your signature in OR you can send us a hard copy of the signature for us to scan in.

Proofs:

Proofing is a necessary and sometimes tedious task, but one that needs to be completed to ensure accuracy. The key in not letting this process impede the progress of a job is to make sure that it is done as quickly as possible. If you are asking for a response from your constituents, we recommend including a reply envelope. We also recommend utilizing a Courtesy Reply Envelope. In order to receive the most postal discounts, you will need to include FIM (Facing Identification Marks) and a delivery point barcode on this reply envelope.
